We are excited about the opportunity to provide you with a great new check-in experience. We believe by modernizing the way we do patient intake, we will create a better overall experience for you.


Dear Patients,

 

We are excited about a new check-in process we are implementing in early 2019. We are introducing the Clearwave kiosk system to further enhance your experience at our office and reduce some of the redundancy that can make the healthcare process frustrating.

When you come for your visit, you will be greeted by a staff member who will help you to sign in on the kiosk. The kiosk will go through a series of questions. You will be asked for your insurance card, as well as your driver’s license.

Upon subsequent visits, you will simply check in at the kiosk with your driver’s license and it will remember you from your last visit. You will easily be able to verify if your information is correct and/or whether you would like to make any changes. Gone is all the redundant paperwork on the clipboard! The kiosk will take care of it for you. Upon completing this simple check-in process, the staff will know you have arrived and will be able to see all of your current information.

The Clearwave kiosk has allowed many offices to reduce their waiting room times substantially and we are excited about being able to do this for our patients. These kiosks will allow us to turn our focus where it belongs: to our patients, instead of on collecting paperwork.

Below, you will find some questions or common misconceptions relating to the kiosk and its implementation. Please take a moment to read them. Many patients have expressed concern over our staff and perhaps the possibility of positions being eliminated. This is not the case at all.

We know that change is sometimes difficult, but this is one instance where the change will allow for greater patient satisfaction and at the same time allow us to run the office more smoothly. We are really happy about this and trust that you will be too.

Why is the new check-in system being implemented?

We believe the mobile pre-check and the kiosks will help us with the following:

  • It will provide a better patient experience
  • It will increase the interaction time we have with patients
  • It will reduce paperwork for everyone - patient and staff
  • It will shorten your waiting room time

What if I do not want to use the kiosk?

One of the great things about the kiosk is that it allows for shorter waiting room times. We think this is a great benefit to you. If you need help with checking in, we are always available to help you.

I like to see and talk to a real person.

We love our patients and want to see and interact with you as well. The new check-in process allows us to focus on you where before we had to focus on getting all your patient information and/or insurance data collected. The Clearwave system will allow us the time and opportunity to provide better service to you.

I am concerned the staff will lose their jobs.

When we first heard about this, we thought that might be the case too. Our jobs are secure. In fact, our jobs have just changed a little bit so that we can truly focus on what is important - you. Because of this system, we are going to be less stressed. We are going to enjoy our work more because the office will run smoother than before. We are excited about these changes, and while change is sometimes difficult, you will find it very beneficial after you check in a few times.

Is my privacy protected?

Absolutely. The system is HIPAA compliant and is in full compliance with all privacy rules and regulations. In fact, your information is fully encrypted allowing us to protect it even more securely than ever before.

Healthcare should be personal, not electronic!

We think so too! Paperwork and the entire insurance process are a necessary part of every patient visit. The kiosks allow us to quickly and easily get the paperwork out of the way so that we can focus on you. It is our goal to provide personalized patient care. Our focus is always on you, our patient, and making the healthcare experience easier and better for you.
